A formal letter /email (Letter of enquiry)


As in any formal letter, in a formal letter of enquiry we have to use formal register without contractions and a clear layout. We have to remember that the structure of the letter influence the impression the addressee has when reading it. 

There may be a number of reasons to write a letter of enquiry:
  • expressing interest
  • expressing doubt
  • enquiring about the details
  • asking for information.
Remember! In the letter of enquiry we use INDIRECT QUESTIONS which are as polite as possible.

Remember! There are certain forms to be used when we know or do not know the name of a person to whom we are writing.

Dear Mr…/Mrs…,
Dear Sir/Madam,
I would be grateful if...
I was wondering if it would be possible to...

I appreciate your assistance,,,
I look forward to hearing from yoy.
Yours sincerely, ...
Yours faithfully, ...*

*Note: If you start your email with a person's name (e.g. Dear Mr. Watson) , then finish with Yours sincerely

Task
You bought a new phone on the internet but it doesn't work. Write a formal email to the customer services department of the internet company, (For example: Amazon, PC components, ...) explaining the situation and asking for a replacement. Write 120-150 words.
